Corporate & Production FAQ

Whether you need glam for one executive, a panel of speakers, or a multi-city brand program, Beauty Studio is structured like a national beauty vendor – with clear rate options, agency guarantees, and support for internal teams, planners, and production partners.

Agency & Booking

How we partner with corporate, agency, and production teams.

Beauty Studio is a licensed national agency with a centralized team managing your bookings, contracts, and artists across all markets. Instead of tracking down individual artists in every city, you have one partner for:

  • Staffing, scheduling, and backup coverage
  • Rate cards and approvals
  • Invoicing, W-9s, and documentation
  • Preferred vendor setups and recurring programs

We regularly support:

  • Conferences, summits, and sales meetings
  • Executive media days, keynotes, and panels
  • Broadcast, streaming, and commercial shoots
  • Brand activations, VIP lounges, and pop-ups
  • Headshot stations and internal photo/video content

Our team can build a plan for one-day events, multi-day programs, or long-term recurring needs.

Start with a brief outline of your project:

  • Dates, city, venue, and approximate call times
  • Number of people or talent being serviced
  • Whether you prefer hourly / day rates or per-service
  • Any special requirements (union rules, broadcast standards, etc.)

Submit this via our Corporate Quote form and our team will reply with a recommendation and estimated quote.

Yes. For national or recurring bookings, we can:

  • Create custom rate cards and scopes by project type
  • Build a private landing page or portal for your internal team
  • Support POs, vendor registration, and W-9 / COI documentation
  • Standardize briefing and approval workflows across markets

On-Set & Scheduling

How we plug into your run of show, call sheet, and production timeline.

Yes. Our network allows us to staff multiple artists per market so we can support:

  • Speaker-ready rooms and backstage glam
  • Rotating talent for interviews and press hits
  • Headshot stations plus VIP glam lounges
  • Simultaneous activations across different suites or venues

We’ll align the number of artists and hours to your run of show, call sheet, and budget.

Service-based booking is ideal when you know exactly who needs hair and/or makeup and how many services you need.

Hourly, half-day, or full-day coverage works best when:

  • You have rotating talent throughout the day
  • You want a glam lounge open during certain hours
  • You need touch ups before/after stage, red carpet, or media hits

Many clients use a hybrid approach – services for key executives plus hourly coverage for speakers, panelists, or guests.

As a general guideline:

  • Full hair & makeup: ~1–1.5 hours per person
  • Single service (hair or makeup only): ~45–60 minutes
  • On-site touch ups: scheduled in shorter windows between cues

We’ll recommend artist headcount and coverage hours based on your schedule, camera needs, and the number of people being serviced.

Yes. We encourage you to share brand decks, dress codes, mood boards, or reference photos. Our team can create a unified direction for:

  • Executives and leadership teams
  • Hosts, spokespeople, and performers
  • Booth or activation staff

We adjust products and techniques based on your lighting, camera setups, and creative.

Rates & Billing

How hourly, half-day, full-day, and service-based pricing works.

We offer two main structures:

  • Service-based: per hair or makeup service, ideal for smaller teams or a set number of VIPs.
  • Coverage-based: hourly, half-day, or full-day rates for ongoing touch ups and rotating talent.

Pricing varies by city and scope, but many projects start around:

  • Hourly coverage: 2-hour minimum
  • Half-day: up to 4 hours on-site
  • Full-day: up to 8 hours on-site

Your quote will outline exact artist counts, hours, and inclusions based on your brief.

For most corporate projects we request either:

  • A standard deposit with remaining balance due prior to the event, or
  • Approved NET terms via your company’s vendor process for ongoing partnerships.

We can adapt to your internal accounting process and include POs or references on invoices where needed.

Invoices are sent digitally and can be paid via:

  • Credit or debit card
  • ACH / bank transfer (where applicable)
  • Company card or procurement platforms where approved

We can consolidate services into a single invoice per project, event, or campaign.

Gratuity is not automatically included for corporate and production bookings unless requested in your quote. If you’d like, we can:

  • Add a flat gratuity percentage to the invoice, or
  • Leave gratuity at the discretion of your internal team.

Travel & Coverage

How nationwide, remote, and multi-city activations work.

We currently provide on-location services in 56+ U.S. city markets with the ability to expand for custom travel when needed. This includes major metros, resort destinations, and key conference cities.

You can view our live service map and book directly at: beautystudioinc.com/book-now .

Yes. Multi-city support is one of our specialties. We can:

  • Mirror looks, staffing levels, and rate structures city-to-city
  • Provide a single point of contact for all markets
  • Share recaps and notes between locations for continuity

For locations outside our primary markets, we can either:

  • Arrange custom travel for artists, or
  • Source vetted talent through our extended network where appropriate.

Custom travel fees and minimums will be outlined clearly in your quote.

In the rare event of an emergency or artist call-out, our team works quickly to assign a replacement artist of similar skill level so your schedule stays intact.

Your booking is backed by our national office and artist network – not just a single freelancer – which is why many brands and production teams choose Beauty Studio as an ongoing partner.
